Job Description
Responsibilities:
o Coordinate all conference room calendar schedules, layout/equipment needs, set up conference rooms or other space as needed; ensure set up of any media or sound equipment; and ensure cleanup of space following event o Coordinate travel and hotel reservations; prepare itineraries for employees and complete applicant/employee expense reports for reimbursement processing o Maintains inventory of general office supplies and equipment; orders supplies when necessary; completes, processes and maintains paperwork for purchasing (e.
g.
orders, requisitions, invoices); assist with purchasing card reconciliation & receipt documentation tracking for all credit card holders at client group site o Ordering gifts on behalf of the company for employees and/or vendors; ordering community gifts for varying sponsored events or building/enhancing community relationships o Source vendors as necessary to get the best product/service for the best price for the company, as well as for employee and vendor gifts o Maintain seating chart and ensure that new employee cubicles have all necessary supplies and equipment o Responsible for document management (ITAR regulations, paper shredding services, etc) Basic
Qualifications:
o Minimum Associates Degree in relevant field with 1 year of experience as an Administrative Assistant; or 4 years of experience as an Administrative Assistant/Office Assistant; or 2 years of experience as an Administrative Assistant for Human Resources o Minimum 3 years of customer service skills o Minimum 2 years of experience utilizing Microsoft Word, Excel, PowerPoint and Outlook Preferred Skills and
Experience:
o Proven experience managing multiple projects simultaneously and autonomously o Experience in Excel making formulas, graphing features, sorting of data, etc.
o Experience in Outlook scheduling and managing multiple calendars o Knowledge of creating reports or presentations which includes combining and presenting data from multiple sources in an organized format including moving data from one Microsoft Office platform to another o Experience using database computer applications, like application tracking systems, purchasing systems, etc o Ability to type 70 words per minute o Superior organizational skills; superior written and verbal communication, including the ability to write quickly and accurately o Ability to verify accuracy of information, resolve discrepancies and follow-up on outstanding activities Additional Requirements:
o Must be able to work a flexible schedule with extra hours as needed by business demands; typically employees work a minimum 50 hour week ITAR Requirements:

Estimated Salary: $20 to $28 per hour based on qualifications.
