Summary:
The P&E Mechanical Dispatcher plays an important role in our organization by presenting the first impression of the company to existing and potential clients.
This key position assumes the responsibilities of clerical and administrative support to optimize workflow procedures in the HVAC service department and is responsible for communicating effectively with technicians in the field so that work orders are updated, accurately and timely, by the end of each workday.
This position is the face of our company and must excel at customer service.

Responsibilities:
Answer, screen and transfer inbound phone calls on a multi-line phone system.
General clerical duties such as:
gathering and monitoring information, filing, resolving administrative inquiries, scheduling and coordinating meetings, appointments and routine maintenance arrangements for the service department.
Help drive our growth by reaching out to customers proactively (phone, email, in person).
Be familiar with all our available services.
Track customer conversations, schedules, and tasks.
Help monitor the Service Technician's and installer's schedules and support customer requests as needed.
Assist in tracking customer concerns or issues and bringing these to the attention of the service admin, sales representative and owners when needed.
Taking ownership by following up on customer requests.
Communicate effectively with others, share knowledge, and help train team members.
Qualifications:
Excellent communication skills, both written and verbal.
Ability to work in a fast-paced environment with several systems and databases while taking incoming calls.
Basic computer skills, knowledge of Microsoft office, including Excel (preferred but not required).
Knowledge of clerical and administrative procedures and systems such as filing, record keeping, planning, organizing, and prioritizing.
Attention to detail and accuracy.
High degree of multi-tasking and time management capability.
High school diploma or equivalent required.
